Privacy Notice

We take your privacy seriously. We’ll go into more detail below, but in brief:

  • We collect information when you register on the website or fill out a form to attend an event.
  • We use that information to invite you to events and keep you up to date. We won’t use it for anything else.
  • We won’t share your information with any third parties except as necessary for those uses (e.g. with cloud storage and email service providers).
  • You can opt out at any time. Just click the unsubscribe link in any of our emails, or email us at [email protected] and we’ll do it for you.
  • You can ask us to delete, amend, or provide you with a copy of the data we hold at any time by emailing [email protected].
  • We’ll keep your data for five years from the last time we heard from you. After that we’ll check whether you still want to hear from us. If you say no, or we don’t get a response, we’ll stop bothering you and remove you from our database.

That pretty much covers it. We’ll go into more detail now, but if you have any questions it’s probably easiest to just email us at [email protected] and we’ll get back to you with an answer.

1. What personal data do we collect, and when?

We collect information when you register on the website or complete any other form – for example to say you’re coming to an event. We may also collect information you provide in email correspondence to fill in any gaps in our records. We may ask for all sorts of things (menu choices, venue preferences, etc.) but in terms of personal data we’ll keep it to your name, email address, Win: Coll: house and the year that you left.

We won’t collect information from any third parties – only from you when you fill out a form or email us. If you don’t want to provide us with any personal information you’re under no obligation to do so. But of course we need some way to contact you if you’d like to be invited to our events.

We may use unique identifiers in cookies when you browse the website, but these are only so we can track how many visitors we’re getting and what they’re looking at on the site. We anonymise all analytics data, so we can’t actually use those identifiers to identify you. Perhaps we should call them something else.

2. How do we use your personal data?

Under the EU GDPR we must always have a legal basis for using your personal data. Normally our legal basis will be that you have consented.

When you register we will ask you to opt in to our mailing list. If you consent to that, we will start sending you invitations to events. If there’s any earth-shattering news to share between events we might send that out too, but we haven’t yet. We reckon on about three events a year, and you’ll probably get 2-3 emails about each.

If you decide you’d like to join us for any of our events, we may contact you asking for further information such as menu choices.

3. For how long do we keep your personal data?

We will keep your data for five years from the last time we heard anything from you.

Towards that five year point we will contact you to ask if you’d still like to hear from us. If you say you’d rather not, or we don’t hear back from you, we’ll remove you from the mailing list and delete your details from our database.

We may keep some data for a longer period of time where we have a legal responsibility to do so – for example financial records, if you’ve paid to attend an event.

4. How and where do we store or transfer your personal data?

We store your information with cloud storage and email service providers in the EU and US. The companies we use in the US participate in the EU-US Privacy Shield Framework.

If you pay to attend an event by credit or debit card we may share your payment information with Stripe or PayPal in order to process your payment. If you’d prefer to avoid this you can pay by bank transfer.

5. Do we share your personal data?

Only in a very limited sense – we share it with MailChimp in order to send out group emails, and with payment processors and cloud storage providers as described above.

We will not share your data with any third parties for any other reason unless legally compelled to do so by a regulator or other lawful authority.

6. How can you access or update your personal data?

You can ask us to update or remove your personal data from our records at any time. Just email [email protected].

You can also ask us to provide a copy of any personal data we hold. There’s normally no charge for this, again just email [email protected] and tell us what you need.

8. Changes to this privacy notice

We may need to update this privacy notice from time to time. If we do, we’ll email the mailing list and update this page. You can also request a copy of the currency privacy notice using any of the contact details above.
